HelixIntel Work Order Guide

  • To access HelixIntel, our work order system, click on the “HelixIntel (Work Orders)” app from you Classlink Launchpad.

    In the page that opens click on the “Sign in with Google” button.

  • Once you are signed in to HelixIntel you will come to the “Work Requests” page where you can submit a new work request and see existing Requests that you’ve submitted. To submit a new work request click the “+New” button to open the request form.

    Work Request Title: A descriptive name for the request.

    Briefly Explain Your Request: The main body of the request. This is where you should include all of the relevant details pertaining to the work you are asking to be completed.

    Location: Where the work needs to be performed. When selecting from the dropdown, if a location has multiple spaces or rooms there will be an arrow to the left that can be clicked to expand the selection.

    Category: The type of work that needs to be done.


     

    The lower portion of the form is contains the optional fields that can provide additional context for the work request.

    A form with optional details and attachment options is displayed.

    Requested Completion Date: A date that you’d like to have the work completed by. This is not guaranteed and may be changed by the servicing team.

    Priority: The perceived impact of the work to be completed. This is not guaranteed and may be changed by the servicing team. The recommended use of priority is as follows: 

    None – There is no work impairment to the district that will be remedied by the requested work.

    Low – There is a minor impairment of district functions or impairment to few individuals that will be remedied by the requested work.

    Normal – There is a moderate impairment of district functions, impairment of several individuals, or a minor time sensitive nature that will be remedied by the requested work.

    High – There is significant impairment of district functions, impairment to a large portion of individuals, or there is significant time sensitivities that will be remedied by the requested work.

    Urgent – There is significant impairment of functions to a majority of the district that is significantly time sensitive. If there is a situation that constitutes an emergency please escalate this in the appropriate measures instead of submitting an urgent work request.

    Attachments: Used to attach an files (documents, pictures, video, etc.) that are relevant to the work that is being requested.


     

    Once you have filled out the required fields and included the relevant optional details, click the “Submit Request” button to finish the process and submit the request for review. 

  • Once you have submitted a work request you will see it in a list of all of your current work requests.

    Clicking the work request will open a window that shows the details of the current request.

    1. Work Group

    2. Work Order Number

    3. Assigned Individual(s)

    4. Priority

    5. Projected Due Date

    6. Watchers - clicking the watchers icon will show you a list of current individuals monitoring this work request.

    7. Work Order Status – Status of the progression of the work.

    Ready – Work is Approved but has not yet been marked as started.

    In Progress – Work has begun and is continuing.

    Blocked – A situation has prevented further progress of the work.

    Waiting on parts – Progress of the work is reliant on resources that are not yet available.

    Completed – The work has been finished.

    8. Work and Comment History – Shows the details of updates to the work request and comments made regarding the request.

    9. To Do – This may show a list of objectives to complete the request and who is assigned to each individual objective.

  • To change how you receive notifications from HelixIntel click on the user icon in the top right and then click on “Notification Settings” in the context menu that appears.

    From the Notification Settings page you can check or uncheck the methods and triggers for your notifications.
